1. Who we are

This website (thebuyersagentportugal.com) is operated by Singlessence Unipessoal Lda. (“The Buyer's Agent Portugal”, “we”, “our” or “us”), a Portuguese limited liability company licensed to provide real estate mediation services under AMI Licence 23932.

For the purpose of the EU General Data Protection Regulation 2016/679 (the “GDPR”) and the Portuguese Data Protection Act (Law 58/2019), Singlessence Unipessoal Lda. is the data controller for the personal data described in this policy.

2. The personal data we collect

We only collect what you give us, and we only ask for what helps us respond properly. In practice that means:

• When you contact us through the website: your name, email address, phone number, what you are writing about and your message. Where a form asks, we also record the buying picture you describe: the region you are looking in, your budget range, when you hope to buy, whether it is a second home or an investment, your current housing situation, how far along you are with a property (viewed, offer made, price agreed, promissory contract signed) and whether you already have a lawyer. Every one of these answers is optional.
• When you request a guide or the Buyer Checklist: your name and email address, so we can send it to you, plus any of the same optional buying questions the form asks.
• When you register for one of our online sessions: your name, email address, where you are in your journey and any question you send in advance. During and after the session we record whether your personal link was opened, roughly how long you watched, any question you ask in the room (with the name you type, if you give one) and whether you cancelled your place.
• When you sign up to the newsletter: your email address and, if you give it, your name.
• When you book an introductory call: the booking runs on Brevo Meetings, which collects your name, email address and the time you choose.
• When you tell us about a property you own: your contact details and the property information you submit.
• When you message us on WhatsApp, email us or reach us through social media: whatever you choose to share, and the account you write from.
• When we engage you as a client: additional information strictly necessary to perform the engagement (identity documents required by anti-money-laundering rules, proof of funds, sometimes tax residency information).
• When you browse the website: basic technical information such as your IP address, browser type and pages visited, and only if you accept analytics. See "Cookies and analytics" below.

3. Why we process your data and the legal basis

We process your personal data only for clear, specific purposes:

• To respond to your enquiry and provide our services. Legal basis: taking steps at your request before entering into a contract, or performing that contract (Article 6(1)(b) GDPR).
• To understand where you are in your buying journey, so the reply you get is relevant rather than generic. The budget, timescale and purchase-stage answers are used for this and nothing else. Legal basis: our legitimate interest in answering you well (Article 6(1)(f) GDPR), and you can leave every one of those questions blank.
• To send you the guide or checklist you asked for, and a short series of follow-up emails about buying in Portugal in the weeks after a download. Legal basis: your consent (Article 6(1)(a) GDPR). Every email carries an unsubscribe link, and one click stops the rest.
• To run the online session you registered for: your confirmation, your personal link, a reminder the day before and on the day, and a thank-you with the recording afterwards. Legal basis: performing the service you signed up for (Article 6(1)(b) GDPR). You can cancel your place at any time from your personal room link.
• To send you the newsletter, only if you tick the box asking for it. Legal basis: consent, withdrawable at any time.
• To comply with legal obligations, including AMI regulation, anti-money-laundering checks (Law 83/2017) and tax record-keeping. Legal basis: legal obligation (Article 6(1)(c) GDPR).
• To improve our website and services. Legal basis: our legitimate interest in understanding what works and what does not (Article 6(1)(f) GDPR), balanced against your reasonable expectations.

We do not use your data for automated decision-making or profiling that produces legal or similarly significant effects on you. The buying-picture answers help a person at our end decide how best to respond; they never decide anything on their own.

4. Who we share your data with

We do not sell, rent or trade personal data. We share it only with the parties strictly necessary to deliver the service you asked for, namely:

• Vercel, which hosts this website and stores the enquiries, registrations and session records you submit through it.
• Brevo, our customer relationship and email platform. Your contact record there holds your details, how you came to us and the buying-picture answers above, and it sends our confirmation, reminder, follow-up and newsletter emails. Brevo Meetings handles introductory-call bookings.
• Google Analytics, only if you accept analytics cookies, and only in anonymised form.
• Meta (Facebook and Instagram), only if you choose Accept all in the cookie bar: its pixel tells us whether a visit came from one of our own adverts and whether it led to an enquiry. We never send it your name or email address.
• The video platform that carries our online sessions (YouTube or Cloudflare Stream). Watching a session loads that platform's player, which is governed by its own privacy policy.
• WhatsApp (Meta), if you choose to message us there. That conversation is subject to WhatsApp's own terms.
• Professional advisors you ask us to coordinate with: lawyers, tax advisors, mortgage brokers, currency specialists, surveyors, immigration counsel. We only share what they need to do their job.
• Competent authorities, where we are required to by law (AMI, the tax authority, the anti-money-laundering supervisor, courts).

When a processor is located outside the European Economic Area we ensure transfers are covered by Standard Contractual Clauses or an adequacy decision of the European Commission.

This website links to other sites, including our social media profiles. We are not responsible for their privacy practices, so please read their policies before sharing anything with them.

5. How long we keep your data

• Enquiry-only data (you contacted us but we did not engage): up to 24 months, after which we delete or fully anonymise it.
• Online session records (registration, attendance, questions asked, reminder and follow-up emails sent): up to 24 months after the session.
• Marketing consents (guide downloads, newsletter): until you unsubscribe or three years of inactivity, whichever comes first.
• Client engagement records: 10 years after the engagement ends, as required by Portuguese AML and accounting rules.
• Website analytics: aggregated indefinitely; raw events purged after 14 months.

6. Your rights under the GDPR

You have the right to:

• Access the personal data we hold about you.
• Have it corrected if it is inaccurate or incomplete.
• Have it erased, where there is no overriding legal obligation for us to keep it.
• Restrict or object to its processing.
• Receive your data in a structured, machine-readable format (portability).
• Withdraw any consent you previously gave (without affecting the lawfulness of processing carried out before the withdrawal).
• Lodge a complaint with the Portuguese supervisory authority, Comissão Nacional de Proteção de Dados (CNPD).

7. Cookies and analytics

This website sets no cookies at all unless you accept them in the banner. Analytics only loads Google Analytics with IP anonymisation and aggregated reporting. Accept all also loads the Meta Pixel so we can measure our own adverts. If you choose essential only, nothing is loaded.

Your choice is remembered in your browser's local storage (not a cookie) so you are not asked again, and you can change it at any time using the Cookie choices link in the footer. The live-session room embeds a video player from YouTube or Cloudflare Stream, which may set its own cookies while you watch.

8. Security

We protect your data with industry-standard technical and organisational measures: encrypted connections (TLS), encryption at rest where supported by our providers, restricted access on a need-to-know basis, and regular review of who can see what. No system is perfectly secure, but we treat your data as we would expect ours to be treated.

The link you receive for an online session is personal to you: it is tied to your email address and is what lets you into the room, ask questions and cancel your place. Please do not forward it. Anyone who wants to attend can register for their own.

9. Children

Our services are intended for adults. We do not knowingly collect personal data from anyone under the age of 16. If you believe a minor has provided us with data, please contact us and we will delete it.

10. Changes to this policy

We may update this policy from time to time to reflect changes in the law, our services or our practices. The “Last updated” date at the top will always show when the current version came into effect. For material changes we will notify clients we are actively engaged with by email.
